5 Signs You've Found the Right Private-Event Caterer

Hiring a caterer for a private event — a milestone birthday, a baby shower, an anniversary dinner — is an act of trust. You are handing a stranger the centerpiece of your celebration. After years in hospitality across Las Vegas, Los Angeles, and Taipei, here are the five signs we believe separate a caterer worth booking from one you will regret.

1. They ask about your guests before their menu

A great caterer's first questions are about your people: how many guests, what ages, which dietary needs, what the occasion means to you. If the first thing you receive is a fixed package PDF with no questions attached, the kitchen is planning around its own convenience — not your event. Menus should be built for the room, not photocopied for it.

2. They offer a real tasting

Confidence tastes like something. A caterer proud of their food will put plates in front of you before you sign, and will adjust seasoning and swap dishes based on what you say. Treat a reluctance to schedule a tasting — or a tasting that differs wildly from what shows up on event day — as the red flag it is.

3. Dietary accommodations are answered specifically

Ask how they handle a vegan guest, a gluten-free guest, and a nut allergy at the same table. The right answer is specific: separate prep, labeled platters, a named dish for each need. “We can work around that” is not a plan. As a fully vegetarian kitchen, we build this thinking into every menu from the start — but any caterer you hire should be able to describe their process in detail.

4. Staffing and logistics are spelled out in writing

Before you book, you should know exactly how many staff will be on-site, when they arrive, what they handle — setup, service, bussing, cleanup — and when they leave. Vague answers about logistics before the event become chaos during it. A professional operation sends you a written timeline without being asked twice.

5. Communication is fast and human

How a caterer communicates before the booking is the best preview of how they will behave the week of your event. Responses within a business day, direct answers to direct questions, and a single point of contact who knows your file — these habits predict a calm event far better than a glossy portfolio does.
